    Accounting Clerk (Part-time, on-site)

    Location: The Colonial Dames of America/Mount Vernon Hotel Museum, 417-421 E. 61st St., New York, NY Schedule: 8 hours per week, with parts of the year potentially requiring additional hours. Potential for flexible schedule within business hours (M-F, 9 am-5:30 pm)

    Compensation: $18-$22/hour commensurate with experience and qualifications

    Position Summary:

    The Accounting Clerk plays a crucial role in supporting the administrative, financial, and operational functions of The Colonial Dames of America. The ideal candidate will bring a solid accounting background, demonstrate strong organizational skills, and work independently with a high degree of accuracy. This individual must be proficient in QuickBooks Online (QBO) and comfortable managing both financial records and donor data. The role reports to the Executive Director.

    Key Responsibilities:

    Accounting & Financial Administration:

    Manage Accounts Receivable:

    Process check deposits and input into QBO/donor management system

    Process online payments into QBO/donor management system

    Manage dues invoices, including invoice generation & payment reconciliation

    Process ticket sales and event registrations in conjunction with Office Administrator

    Generate and send invoices as requested by members for online payments

    Record additional AR appropriately, including in-kind donations

    Manage Accounts Payable:

    Process invoices and related documentation into QBO for bill pay, with review by third-party accountant to generate weekly payment logs

    Reconcile credit card statements/receipts and input transactions into QBO

    Enter new vendors into QBO

    Assist with financial tracking and basic reporting in collaboration with the Executive Director, Museum Director, and third-party accountant

    Office Support:

    Update content management system as part of Account Receivable/Payable processing to note donations/purchases and member change information

    In conjunction with Office Administrator, correspond with members on questions regarding Account Receivable/Payable

    Provide general administrative support as needed

    Qualifications:

    Required:

    Accounting experience required, particularly with QuickBooks Online (QBO)

    Strong attention to detail and ability to input and manage data accurately

    Proactive, dependable, and able to work independently with minimal supervision

    Commitment to maintaining confidentiality and handling sensitive information securely.

    Preferred:

    High proficiency with office software such as Asana, Square/Stripe, SharePoint/OneDrive, Microsoft Access, and willingness to learn new digital tools

    Experience with content management systems (e.g., GlueUp, Blackbaud, Bloomerang, DonorPerfect, or similar)
