Job Overview
We are seeking a highly skilled and experienced Accounting & Finance individual for our accounting department. This pivotal role requires a strategic thinker with a strong background in non-profit accounting practices, financial analysis, and general ledger accounting. The ideal candidate will be responsible for participating in all accounting operations, working with Stewardship/Fundraising personnel, ensuring compliance with general accounting principals (GAP), and providing insightful financial reports to guide decision-making.
Job Description
Employed by and works under the direction of and reports to ED. Duties include but are not limited to:
I. Accounting & Finance Duties:
A. Financial Statements:
1. Prepare financial statements according to Generally Accepted Accounting Principles.
2. Monitor, categorize, and document monetary assets.
3. Ensure an accurate accounting of Assets, Liabilities and Net Assets.
4. Assist in the budgeting process.
5. Prepare special reports as needed.
B. Bookkeeping:
1. Reconcile bank statements.
2. Monitor all financial accounts to maintain adequate account balances, while observing FDIC limits.
3. Allocate and post income and expenses.
4. Review payment requests to ensure accuracy and required information/approval(s) are present.
5. Prepare payment for all accounts payable in a timely manner.
6. Ensure all accounts payable are current and required tax documents have been received.
7. Respond to inquiries regarding accounts payable from internal and external sources.
8. Maintain an accurate and up-to-date accounting of donor restricted assets.
9. Ensure all planned gifts received from estates and Split-Interest Agreements (Charitable Gift Annuities, Charitable Lead Trusts, etc.) are accounted for properly.
C. Payroll:
1. Obtain the necessary reports for proper payroll accounting and taxes.
2. Allocate and post payroll expenses.
3. Verify payroll tax reports and payments are complete and accurate.
4. Calculate and provide taxable fringe benefit payroll information for processing.
5. Provide backup for Ministry Resource Manager as needed.
D. Stewardship:
1. Train, advise, and supervise donation processing staff to ensure all donations are properly recorded and receipted.
2. Respond to donor requests for ministry financial reports and/or documentation.
3. Ensure accounting entries are appropriately identified and matched to fundraising appeal codes.
4. Maintain online donation site and act as liaison for issues relating to online giving.
5. Produce, supervise, and/or assist in the preparation and interpretation of reports for stewardship and fundraising staff.
6. Verify online donations processed accurately by matching to the monthly statement.
E. Assist in training and supervising stewardship, fundraising, and accounting support staff and work with them to ensure ethical and legal accounting principles and requirements are understood and followed.
F. Advise ED on best practices, financial checks and balances, and up to date internal controls, assist in ministry training, and in ensuring those in place are understood and observed.
G. Ensure all licensure, professional development training, and continuing education requirements are met to maintain professional certification, and ensure ministry non-profit accounting practices are compliant, current, accurate, and appropriate.
H. Advise and assist in the research and investment of funds and ensure they are properly tracked and classified.
I. Non-profit Status and Compliance Responsibilities:
1. Provide information necessary for IRS form 990 preparation. Once prepared, supervise/review completed 990 form.
2. Track and maintain depreciation schedule and included assets.
3. Ensure all filings and extensions are on time and accurate.
4. Prepare for, respond to, and oversee the annual financial audit process by external auditors.
5. Assist, advise, and implement suggested improvements from auditors.
6. Prepare financial reports and documents required for state and/or accreditation compliance.
7. Maintain state sales tax exemption certificates and assure they are current.
J. Assist and advise staff in financial matters when appropriate.
K. Provide support for stewardship, fundraising, and administrative staff as needed.
