  • Responsibilities

    ESSENTIAL JOB FUNCTIONS:

    • Route incoming invoices to appropriate people for review and approval.
    • Prepare weekly check runs and vendor payments for accounting.
    • Reconcile monthly credit card statement and route to accounting for payment.
    • Input checks and ACHs received in donor tracking software.
    • Prepare donor thank you letters for print/CEO sign/mail.
    • File paid invoices, deposits, and other accounting records in accordance with record retention procedures.
    • Prepare and make bank deposits and route to accounting.
    • Assist with account reconciliations and month-end closing activities as assigned.
    • Review law enforcement requests for reimbursement for accuracy and approval.
    • Interact with law enforcement officials via phone, email and in person office visits.

    ADDITIONAL RESPONSIBILITIES:

    • Assist accounting and staff with special projects and initiatives.
    • Support the preparation and collection of documentation for annual audits and financial reviews.
    • Assist with data entry, recordkeeping, and other accounting or administrative functions as needed.
    • Perform other duties as assigned to support departmental and organizational objectives.
    • Manage Community Conference Room calendar.
    • Work with the Board of Trustees as needed.

    MINIMUM QUALIFICATIONS:

    • Minimum of two (2) years of accounting, accounts payable, bookkeeping, or related financial experience.
    • Experience working with accounting software and financial systems preferred.

    SKILLS AND PERFORMANCE STANDARDS:

    • Proficiency in Blackbaud or similar accounting software preferred.
    • Proficiency with Word Press and Mailchimp preferred.
    • Proficiency with Adobe and Canva preferred.
    • Strong organizational skills and attention to detail.
    • Ability to manage multiple priorities and meet deadlines with accuracy.
    • Strong verbal, written, and interpersonal communication skills.
    • Ability to maintain confidentiality and handle sensitive financial information.
    • Demonstrated customer service skills and ability to work collaboratively with staff, vendors, external stakeholders, and law enforcement officials
    • Proficiency in Microsoft Office Suite: Excel, Word, Publisher, Power Point, Word and Outlook.

    WORKING CONDITIONS:

    • Primarily works in a standard office environment.
    • Position may require flexibility in responding to changing priorities, deadlines, and Foundation activities.
