Position Summary
The Accounting Manager is responsible for overseeing all daily and monthly accounting operations for a multifaceted business located in Western Kentucky. This role ensures accurate financial reporting, strong internal controls, regulatory compliance, and timely reporting to ownership and management. The Accounting Manager supervises one Accounting Clerk and maintains accountability for the accuracy and completeness of all financial records.
Daily Accounting Responsibilities
Supervise one Accounting Clerk.
Review work performed by the Accounting Clerk, including entry of vendor bills, credit card charges, and deposits.
Review daily cash activity and monitor cash flow.
Import financial data from multiple POS systems.
Ensure proper coding of expenses and revenue.
Maintain internal accounting controls.
Weekly Responsibilities
Reconcile all bank accounts weekly.
Reconcile credit card accounts weekly.
Monthly & Period-End Responsibilities
Process month-end close and complete all journal entries.
Reconcile all balance sheet accounts.
Close the books and provide financial reports to owners and the General Manager no later than the 10th of each month.
Prepare and file monthly sales tax reports.
Prepare and file motor fuel tax and fuel tax credit reports.
Coordinate with external CPA for year-end close and tax filings.
Maintain fixed asset schedules and depreciation.
Payroll Responsibilities
Review payroll for accuracy.
Submit payroll to third-party payroll provider for processing.
Ensure payroll-related liabilities are properly recorded.
Compliance & Licensing
Ensure compliance with GAAP and company financial policies.
Maintain required documentation for reviews and/or audits.
Track and maintain all licensing renewals.
Systems & Software
Maintain accounting records using QuickBooks and Microsoft Excel.
Ensure proper recordkeeping and data integrity within accounting systems.
Qualifications & Experience
5+ years of accounting experience required.
Supervisory experience preferred.
Strong understanding of GAAP and financial reporting.
Proficiency in QuickBooks and Microsoft Excel.
Strong attention to detail and organizational skills.
Work Environment
On-site position in Western Kentucky.
Ability to manage deadlines and monthly reporting timelines.
