True North Management is a growing, service-focused property management company specializing in residential, multifamily, commercial, and vacation rental properties. We are seeking an experienced Accounting Manager to take ownership of the accounting operations supporting our growing property management portfolio.
This position is primarily focused on real estate and property management accounting, including property-level financials, owner accounting, accounts payable and receivable, bank reconciliations, rent roll reconciliation, budgeting, cash flow management, compliance, and financial reporting.
The ideal candidate is highly organized, analytical, detail-oriented, and comfortable taking ownership of accounting processes in a growing company. This is a hands-on, senior-level position that will work closely with company ownership, property managers, maintenance, leasing, vendors, property owners, lenders, and outside accounting professionals.
While accounting is the primary responsibility, this position will also provide limited administrative support for payroll and HR functions. HR responsibilities are secondary to the accounting and property management responsibilities of the role.
Key Responsibilities
Property Management & Real Estate Accounting
Manage full-cycle accounting for a portfolio of residential, multifamily, commercial, and vacation rental properties
Maintain accurate property-level and company-level general ledgers
Prepare monthly, quarterly, and annual financial statements, including income statements, balance sheets, cash flow statements, property financials, and owner statements
Perform monthly bank and balance sheet reconciliations
Review and reconcile rent rolls, tenant ledgers, owner accounts, and property-level cash activity within Rent Manager
Manage accounts payable, including invoice review, coding, approval, and payment processing through AvidXchange
Manage accounts receivable and ensure accurate posting and reconciliation of rental income, tenant charges, owner charges, and other property revenue
Process journal entries, accruals, prepaid expenses, depreciation, and other standard accounting adjustments
Track capital expenditures, property improvements, maintenance expenses, and project costs
Monitor owner reserves and property-level cash balances
Identify and investigate accounting discrepancies, unusual transactions, and variances
Maintain accounting records in accordance with GAAP and established company procedures
Budgeting, Forecasting & Financial Analysis
Assist with annual property and company budgeting
Prepare and maintain property-level budgets and forecasts
Analyze actual results versus budget and provide variance analysis
Assist with cash flow projections and financial planning
Provide financial reporting and analysis to ownership and property managers
Assist with acquisition, refinancing, and property-level financial analysis as needed
Identify opportunities to improve property-level financial performance and operational efficiency
Compliance, Tax & Lender Reporting
Prepare financial schedules and supporting documentation for property owners, lenders, investors, municipalities, and other stakeholders
Assist with Tax Increment Financing (TIF) reporting and related documentation
Monitor loan covenant and lender reporting requirements
Coordinate with the company's outside CPA and tax professionals
Prepare year-end accounting schedules and workpapers
Prepare and issue annual 1099-NEC/MISC forms for applicable vendors
Complete required resident reporting, including Certified Rent Rolls (CRPs) and other applicable affordability or compliance reporting
Maintain organized documentation for audits, tax preparation, lender reporting, and other financial requirements
Payroll & Limited HR Administration
Although this is primarily an accounting position, the Accounting Manager will provide limited support for company-wide payroll and HR administration, including:
Process company payroll accurately and on schedule
Maintain payroll records and coordinate payroll-related reporting
Assist with employee onboarding and offboarding paperwork
Maintain confidential employee records and assist with employee benefits administration
Maintain and periodically update the employee handbook and company policies
Assist leadership with implementation of HR policies and procedures
Coordinate with outside HR, payroll, insurance, or legal professionals when necessary
This position is not intended to function as a full-time Human Resources Manager. HR responsibilities are secondary to the accounting and property management responsibilities of the position.
Systems & Process Management
Maximize the effectiveness of Rent Manager, QuickBooks, AvidXchange, Microsoft Excel, and payroll/HR platforms
Develop and improve accounting workflows, procedures, and internal controls
Identify opportunities to automate and improve accounting processes
Maintain accurate digital records and documentation
Assist with accounting system transitions, integrations, and software implementations as needed
Help build scalable accounting processes as the company continues to grow
Leadership & Collaboration
Work directly with company ownership on financial matters and strategic decisions
Serve as a key accounting resource for property managers and administrative staff
Provide financial guidance, reporting, and analysis to management
Train and mentor accounting and administrative team members as needed
Participate in leadership and operational meetings
Assist with company-wide strategic initiatives involving financial performance, process improvement, and operational efficiency
