    Accounts Payable/Administrative Assistant

    Pay: $25 - $35/hr DOE + Robust Benefits Package

    Location: Broomfield, CO

    Hours: M, W, F: 6:30 a.m. – 4:00 p.m. & T, Th: 8:00 a.m. – 4:00 p.m.

    *2-week Part-Time training in December, transitioning to Full-Time in January

    How you’ll spend your time as an Accounts Payable/Administrative Assistant:

    • Manage all Accounts Payable functions, including receiving, reviewing, and processing vendor invoices weekly.
    • Ensure accurate coding, approvals, and alignment with purchase orders and receiving documents.
    • Enter bills into QuickBooks in a timely and accurate manner and categorize/allocate bills to specific jobs.
    • Prepare and process payments, utilizing early payment discounts when eligible.
    • Maintain positive vendor relationships and resolve billing inquiries and discrepancies professionally.
    • Ensure vendor compliance by requesting and filing current W-9s and certificates of insurance (COIs).
    • Support job costing by matching bills to purchase orders and tracking job-specific expenses.
    • Perform front-desk duties: answer and direct incoming phone calls, and greet and assist visitors, clients, and vendors.
    • Oversee Office & Facility Management, including ordering and restocking office, kitchen, and general supplies.
    • Coordinate facilities maintenance scheduling (e.g., fire extinguisher inspections, HVAC services).
    • Maintain inventory and distribute Personal Protective Equipment (PPE) to field staff.
    • Support team events by assisting with planning and coordinating company events, trade shows, and community activities.

    Skills & experience we'd like you to have as an Accounts Payable/Administrative Assistant:

    • Associate’s degree or higher level of education.
    • 2+ years of Accounts Payable experience.
    • Experience with QuickBooks.
    • Experience with payment reconciliation, vendor statements, and resolving discrepancies.
    • Strong organizational skills to maintain AP filing systems, physical, and digital filing systems.
    • Excellent communication skills for vendor relations and front-office support.
    • Ability to manage office equipment and oversee facilities maintenance scheduling.
    • Team player willing to jump in and help wherever needed.
