Our Finance team is seeking an Accounts Payable Associate. As a vital part of the team, the person in this role will be responsible for processing and reviewing accounts payable for The Henry Ford (THF) and Henry Ford Academy (HFA), verifying compliance with organizational policies and federal, state and local requirements. This person will maintain and file all 1099 tax information and audits, and processes corporate credit card charges. For this role, you must adhere to accounting, check printing, and IRS reporting deadlines.
This is a full-time position with expectations of being available Monday through Friday 9am – 5pm for meetings and require on-site activity in Dearborn for projects/meetings, etc.

Essential Responsibilities:
- Match invoices with purchase orders and receivers (when applicable), assessing the reasonableness of budgets charged, and verifying compliance with organizational policies and 1099 tax laws
- Enter vendor information, batches of invoices and credit memos into the accounts payable system, prints, receipts and closes purchases orders as necessary
- Audits and verifies data entered and batch totals to a system generated report
- Process weekly accounts payable checks and electronic fund transfer payments
- Responsible for printing reports, checks, and EFT forms to match invoices to checks and prepares checks for mailing with CFO approval
- Assist with 1099 tax reporting that includes but is not limited to sending out W9 forms to vendors, maintains and updates 1099 tax and vendor information in accounting system, and merge duplicate vendor files as needed
- Review all vendor activity, making 1099 adjustments and working with vendors and internal staff as necessar
- Monitor IRS requirements for 1099 processing, updates 1099 software, creates and updates 1099 files, and orders and processes various 1099 tax forms annually for THF and the HFA
- Reconcile vendor statements and communicates with vendors and internal staff as appropriate to resolve any differences
- Respond in a timely manner to various off-schedule accounts payable requests, including processing of emergency requests for immediate checks, as well as voids and check reissuance
- Monitor the accounts payable mailbox, opens and stamps mail, obtains approval signatures for invoices, reconciles vendor statements and maintains filing of check vouchers
- Responds to internal (staff) and external (vendor) inquiries and creates reports/queries as needed
- Acts as a team player and provides expertise within the department and with other departments as appropriate
- Performs other duties as assigned to ensure the success and compliance of the finance team

Your Qualifications:
- High school diploma
- Associate's degree preferred
- 2 or more years of accounts payable experience
- Proficient with computers and accounting systems
