    Accounts Payable Clerk / Receptionist

    Job Summary

    We are seeking a detail-oriented and dependable Accounts Payable Clerk / Receptionist to support our construction operations. This role combines accounting support with front-office responsibilities and serves as a key point of contact for vendors, subcontractors, and visitors. The ideal candidate is organized, professional, and comfortable working in a fast-paced construction environment.

    Key Responsibilities

    Accounts Payable

    Process vendor and subcontractor invoices accurately and timely

    Match invoices to purchase orders, contracts, and delivery tickets

    Verify invoice coding and job cost allocation

    Enter invoices into accounting system ( QuickBooks)

    Reconcile vendor statements and resolve billing discrepancies

    Maintain organized digital and paper AP files

    Ensure compliance with company policies and construction lien requirements

    Reception / Administrative Support

    Greet and assist visitors in a professional manner

    Answer and route incoming phone calls

    Manage incoming and outgoing mail and deliveries

    Maintain office supplies and coordinate orders

    Assist with document preparation, filing, and data entry

    Support project managers and office staff as needed

    Qualifications

    High school diploma or equivalent (Associate’s degree preferred)

    5 plus years of Accounts Payable or bookkeeping experience in the Construction industry

    Familiarity with job costing and subcontractor invoices a plus

    Proficiency in Microsoft Office (Excel, Word, Outlook)

    Experience with accounting software (QuickBooks preferred)

    Strong attention to detail and organizational skills

    Excellent communication and customer service skills

    Ability to multitask and meet deadlines

    Work Environment

    Office-based with regular interaction with vendors and field personnel

    Full-time position, Monday–Friday
