The Accounts Payable Supervisor manages and coordinates the accounts payable functions of the organization, ensuring the accurate and timely processing of vendor payments, while maintaining an organized system of records.
Supervisory Responsibilities:
· Provides leadership and direction to the accounts payable team.
· Involved in hiring and selection process, terminations, and performance evaluations.
· Monitors direct reports attendance and performance.
Essential Job Functions:
· Responsible for submitting weekly payment runs to CFO, including determining what should be paid by working with purchasing team, optimizing discounts, and communicating with vendors.
· Manages direct reports within AP team, along with external software that assists in processing invoices.
· Reviews progress of AP team using tracking models including number of invoices each person is processing and implement improvements.
· Reviews expense reports, assists employees, and properly assign GL accounts to expenditures.
· Manages monthly closing of AP, reconcile statements, and assists with the annual audit.
· Participates in the month end close process including analyzing the monthly income statement for transactions booked in the right period.
· Oversees reconciliation of corporate credit cards.
· Prepares and issues 1099 forms, along with improving and streamlining the process.
· Researches, resolves, and communicates any discrepancies or outstanding balances on vendor accounts.
· Jointly develops and initiates with the team and other departments cross functional process improvements.
· Helps implement and maintains systems, procedures, and policies, including accounts payable functions to ensure adherence to company guidelines.
· Follows all policies and procedures of Occupational Safety and Health, Human Resources and Quality Department.
· Reports any safety deficiency to immediate supervisor.
· Handles sensitive information in a confidential manner.
· Assists with accounting projects as needed.
· Performs other duties as assigned.

Skills & Abilities:
· Strong understanding of 3-way match and purchase orders.
· Knowledge of debits and credits.
· Proven knowledge of bookkeeping and accounting principles, practices, standards, laws, and regulations.
· Organized with a strong sense of priority and commitment to deadlines.
· High degree of accuracy and attention to detail.
· Excellent verbal and written communication skills.
· Competency in MS Office, databases, and accounting software. Strong MS Excel skills including vlookups, charts and pivot tables.
· Strong organizational, analytical and account reconciliation skills.
· Ability to identify issues, address them and provide effective solutions.
· Ability to analyze, understand and explain data.
· Maintain a take charge attitude; is persistent and tenacious; has the drive to accomplish objectives.
· Ability to exercise good judgment; make decisions in logical and rational manner; demonstrate common sense, remain practical and calm under pressure.
· Willingness and ability to manage a team of AP Specialists and assist in all areas of AP.

Education & Certifications:
· Bachelor’s degree in Accounting, Finance or related field preferred.
Experience:
· Minimum three years of progressive accounting experience preferably in construction with multiple entities is a plus.
Physical Requirements:
· Prolonged periods sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
