Accounts Receivable/Admin Clerk (Tobacco Wholesale - Order-to-Cash) Pay: $19.25 to $23.00/hr Schedule: 8:30 AM - 5:30 PM (potential for 9-9:30 start) Monday through Friday (NO WEEKENDS) Location: Glendale, 85301
Overview: Join our Arizona-based tobacco wholesale team distributing cigarettes and cigars. The ideal candidate brings 1+ years of experience supporting order-to-cash processes, including compliant invoicing, shipment verification, and collections for licensed retailers.
Key Responsibilities:
Enter and process daily sales orders for tobacco products, verify warehouse shipments, and generate compliant invoices with excise tax details.
Post transactions to AR ledgers, apply payments, and reconcile daily bank deposits and end-of-day registers.
Monitor customer accounts, conduct credit checks on retailers, and follow up on delinquencies while adhering to the PACT Act and state licensing rules.
Resolve order fulfillment issues with the warehouse and buyers; investigate billing disputes and variances.
Review AR reports for aging, variances, and compliance; support month-end processing.
Handle incoming calls, screen inquiries, and assist with customer service as needed.
Maintain confidentiality and internal controls for sensitive tobacco sales data.
Assist the cashier during peak walk-in periods and cover cashier breaks/lunch.
Qualifications:
High school diploma/GED required; associate in accounting/supply chain preferred.
1+ years in AR, invoicing, shipping, or tobacco wholesale order processing.
Proficient in Excel for reconciliations and reporting; 10-key by touch.
Strong detail orientation, problem-solving, and deadline management.
Knowledge of the order-to-cash cycle (order entry to cash application).
Excellent communication for customer negotiations and team collaboration.
Additional Requirements:
Ability to lift to 50 lbs.; energetic, dependable team player.
Flexible for month-end hours and occasional cashier coverage.
