    What You’ll Do

    Own and manage the full lifecycle of accounts receivable and final accounting for client programs—from invoice creation to final P&L reconciliation. This isn’t just data entry—it’s a high-impact role that keeps our financial machine running smoothly and our client programs buttoned up. You’ll collaborate across teams to ensure every dollar is tracked, every discrepancy resolved, and every financial detail aligned before and after the trip. Your precision and follow-through make the difference between a good program and a flawless one.

    Key Responsibilities

    Accounts Receivable & Banking Management

    • Accurately apply daily client payments and maintain up-to-date AR records in QuickBooks.

    • Lead monthly bank reconciliations and resolve transaction discrepancies across multiple accounts.

    • Review and manage AR aging reports, ensuring timely follow-up on past-due invoices.

    • Verify invoice details and collaborate with Sales/Operations to ensure billing accuracy.

    • Allocate incoming/outgoing funds to the correct GL accounts, vendors, and project codes..

    • Research and resolve unidentified transactions in coordination with internal teams.

    • Deliver monthly AR status reports and support financial close processes.

    • Assist with AR and banking cleanup for month-end and year-end reporting.

    Client Program/Project Accounting

    • Document Preparation - Finalize a preliminary version of the P&L and P&L Detail for Internal Final Accounting.

    • Final Review - Review the P&L and P&L Detail reports. Review all Client Invoices and Current Expense Entries. Make adjustments based on updated info or discrepancies from Ops or Accounting. Reconcile all charges, invoices, and bills among Destinations, vendors, guests, and the client.

    • Team Coordination - Address any outstanding discrepancies by coordinating with responsible team members. Follow up with the responsible team members.

    • Operations Team Review - Submit the reviewed P&L and P&L Detail to the Operations Team.

    • You understand accounting principles and how they connect to day-to-day operations, which allows you to work with clarity, consistency, and confidence.

    • You know your way around QuickBooks—this isn’t your first reconciliation rodeo. Whether it’s applying payments, resolving discrepancies, or cleaning up the AR aging report, you move with confidence inside the system.

    • Excel or Google Sheets gets you excited. A good equation that solves a problem makes you happy. You know your way around and can demonstrate that you belong working inside a spreadsheet.

    • You bring structure to ambiguity. When something is unclear, you build a process or checklist to make sure it’s done right the next time.

    • You lead with integrity—even when no one’s watching. You understand that in accounting, trust is everything, and you take that responsibility seriously.

    • You’ve got a strong eye for and find satisfaction in details. You can pick out small errors others miss. You pride yourself on completing work you know is done well.

    • Your mind naturally analyzes situations to improve them and make them more efficient.

    • You’re politely persistent. If something needs to get done, you follow up, loop in the right people, and make sure it moves forward.
