    Job Description

    JOB SUMMARY:  FINANCE SPECIALIST 

    Achievement House is now hiring for a part-time bookkeeper to provide accounting support for the Financial Services Department.  Salary DOE.

    Opportunity in a stimulating work environment with a team of highly skilled professionals. This position works closely and reports to the financial director and handles all general administrative needs of the Financial Department. Processing expense reports, bookkeeping, data entry, maintain proper storage of invoices, checks, and other documents by organizing, logging, scanning, and filing them - Manage the process of verifying, logging, and mailing checks, including expediting special handling - Assist with internal and external audits as needed - Complete special projects on an as-needed basis - Manage department mail by opening, sorting, and distributing it on a daily basis. 

    ESSENTIAL DUTIES INCLUDE: 

    • Maintain books of account-general ledger, receivable/payable, cash, sales and payroll
    • Assist the Financial Director in preparing monthly financial statements for approval by the Executive Director and Board of Directors
    • Assist other departments on implementing accounting policies and procedures
    • Maintain department filing and corporate information
    • Assist the Financial Director with reports to provide data for Outcomes Report
    • Prepare and post monthly journal entries; i.e., Payroll, W/C, Liability Insurance, etc.
    • Prepare accounts payable vouchers and cash disbursements
    • Assist the Financial Director with maintaining up-to-date insurance policies for the agency (with Personnel)
    • Obtain W-9’s for all new vendors. Update and maintain current vendors as needed
    • Review contracts for updates and process monthly billing
    • Prepare cash projections and monitor and report variations from projections promptly
    • Prepare and process monthly Social Security reports
    • Prepare and process monthly (pre-payments) and quarterly sales tax returns.
    • Enter accounting data into the computer to consolidate into the general ledger
    • Inventory tracking for all department
    • Monitor purchases for each department
    • Monitor accounts receivable aging and report any problems to the Financial Director
    • Provide support to Supervisors requesting information needed for Staff and Clients
    • Process Client timecards and complete payroll spreadsheets
    • Process monthly Client billing and submit to funding agencies
    • Monitor Client billing payments and report variations at monthly billing meeting

      EDUCATION / EXPERIENCE:

    High school education or equivalent is mandatory.  Previous accounting, bookkeeping and payroll experience is required.

    QUALIFYING SPECIFICATIONS:

    Must have reliable transportation, maintain a current California driver’s license and provide on-going proof of current state required auto insurance.  Must have an acceptable driving record as determined by criteria established by the Agency’s insurance carrier. Must clear fingerprints through the California Department of Justice and FBI. Be willing to be trained in CPR / First Aid.

    SKILLS AND ABILITIES PREFERRED:

    Excellent spelling and grammar skills, business/office procedures, and proficiency with Microsoft Excel, Word, and Outlook. Knowledge of accounting software is also preferred.  Reliable, accurate, attention to detail, ability and willingness to work independently, and meet deadlines. Ability to prioritize work, produce reports and implement procedures. Must be able to operate business machines, computer equipment, cell-phones, and adaptive equipment used in agency programs without difficulty.  Ability to handle a high volume of work and interruptions.  Strong English oral and written communication skills are required in addition to good communication and interpersonal skills.

    PHYSICAL REQUIREMENTS:

    Essential functions of this position require that employees regularly sit, stand, bend, twist, walk, and climb stairs.  Employees may occasionally be required to lift or move up to 50 lbs.   

    Must be able to operate computer equipment and peripherals, office machines, and adaptive equipment used in agency programs without difficulty.
