    Job Description

    POSITION TITLE: Finance Admin & Accounts Payable

    DEPARTMENT: Finance

    REPORTS TO: Assistant Controller

    FLSA STATUS: Non-Exempt

    POSITION SUMMARY

    Provide customer assistance and support for internal and external customers. Act as the primary contact point for customers/dealers/vendors/internal & field employees having questions or issues involving invoicing, payments, or other finance related questions, as well as, assist with administrative duties for the finance department.

    ESSENTIAL FUNCTIONS

    · Resolve phone calls/email/mail inquiries from customers, vendors and employees in regard to invoicing, sales tax, prescriptions, refunds, discounts, coupons, payments and other finance related issues.

    · Process checks received for ASAs, add ASA to us.aplx.co, enter payment, add outstanding payment for outstanding sales tax.

    · Set up new employees on payment systems- Wells Fargo CEO, Wells Fargo Gateway and Clover.

    · Resolve any password issues with current employees.

    · Troubleshoot any issues with card readers and send replacements when necessary.

    · Issue deposit cards to new employees and update spreadsheet.

    · Deactivate user access for all payment systems for terminated employees.

    · Process Customer Refunds for cancellations, sales tax and overpayments.

    · Enter payment & notes on customer account in us.aplx for all customer refunds.

    · Mark invoices as complete in aplx.co for AP checks issued and mail.

    · Review and process employee Reimbursements.

    · Code and process AP invoices.

    · Reconcile Corporate Credit card accounts.

    · Enter and process dealer orders for lifts, collect payment, and move on to dispatch. Once order is shipped send tracking info and copies of invoices/receipts to dealer.

    · Backup to Front desk receptionist for breaks and time off.

    · Provide support for year-end audit.

    · Observes all health/safety and security procedures; Reports potentially unsafe conditions; Uses equipment and materials properly.

    · Employee may perform other related duties as negotiated to meet the ongoing needs of the organization.

    SKILLS

    · To perform this job successfully, an individual should have knowledge of Word Processing software; Spreadsheet software and Accounting software. Strong Microsoft Excel skills a must, SAP experience a plus.

    · Ability to define problems and collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

    · Ability to effectively present information and respond to questions from clients, customers, and the general public.

    · Ability to calculate figures and amounts such as discounts, interest and percentages.

    · Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

    EDUCATION/EXPERIENCE

    High School Diploma required. Strong Microsoft Excel skills including pivot tables, formulas, and lookups.

    Must occasionally lift and/or move up to 10 pounds
