ASG OFFICE MANAGER JOB DESCRIPTION
The Office Manager will organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency and safety. Energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoys the administrative challenges of supporting an office of diverse people and maintaining communication protocols both in the US and with the corporate parent based in Denmark.
RESPONSIBILITIES:
1. Responsible for ensuring office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances and carrying out necessary corrections that may arise
2. Budget/Expense oversight on a monthly basis to keep US operational costs in line with annual budget
3. Produce regular weekly, monthly and quarterly review reports
4. Partner with HR (ADP) to maintain office policies as necessary
5. Manage relationships with vendors, service providers including landlord, insurance brokers and/or companies, external CPA firm, Banks, authorities to secure appropriate business licenses ensuring that all items are invoiced and paid on time
6. Manage contract and price negotiations with office vendors, service providers and office lease with support from ASG-US consultant(s)
7. Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are maintained/designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored
8. Perform review and analysis of special projects and keep the management properly informed
9. Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
10. Responsible for providing orientation and training to new employees
11. Remain updated on technical and professional knowledge by attending educational workshops with an emphasis on MS Office expertise
12. Participate actively in supporting the execution of company events
13. Ensure security, integrity and confidentiality of data
14. Maintain a safe and secure working environment
REQUIREMENTS:
1. Proven office management, administrative or assistant experience
2. Familiarity working on Amazon Seller Central a big plus
3. Excellent time management skills and ability to multi-task and prioritize work
4. Attention to detail and problem-solving skills
5. Excellent written and verbal communication skills
6. Strong organizational and planning skills
7. Proficient in MS Office, especially MS Excel with pivot tables and V-lookup functions
8. Knowledge of accounting, data and administrative management practices and procedures
9. Knowledge of human resources management practices and procedures
