  • Responsibilities

    ACCOUNTING CLERK DUTIES AND RESPONSIBILITIES:

    Compile and maintain accounts payable records;

    • Process approximately 200 to 250 invoices monthly;

    • Review all invoices for appropriate documentation and approval prior to payment;

    • Answer all vendors inquiries;

    • Assemble and process overnight shipments;

    • Serve as liaison between the vendor and payment center;

    • Ensure invoices are paid within the timeframe required by Prompt Payment Act and/or applicable Executive Order, Regulations, and/or policy;

    • Track final invoices for prompt payment;

    • Generate and mail rejection letters to vendors;

    • Scan and store paid invoice in dedicated electronic folder;

    • Distribute approved invoices to central files;

    • Conduct weekly payment verifications;

    • Review accuracy of expense sheets to obligated funding balances;

    • Enforce payment processing guidelines;

    • Generate, distribute and maintain all accounts payables reports, spreadsheets and agency payable files;

    • Organize and present information in written format using Oracle and TDAMIS II, Microsoft Excel, PowerPoint, Word, etc. when requested;

    • Input approved reservations in Oracle and TDAMIS II; and

    • Monitor and update liquidity of obligations on Operational Expense (OE) expiring actions sheet.

    PERIODIC REPORTS AND OTHER DELIVERABLES:

    • Daily invoice report - list of invoices approved for payment;

    • Weekly invoice report - upcoming invoices for payment during the week;

    • Weekly Operational Expense (OE) report for remaining funds;

    • Monthly reconciliation report for program and operation expenses;

    • Other reports as requested.

    PERSONNEL QUALIFICATIONS:

    • U. S. Citizenship.

    • National Agency Check with Inquiries (NACI) required.

    • Familiarity and proficiency with the use of commercial software packages and databases, such as Microsoft Outlook, Word, Power Point and Excel.

    • Basic understanding of government accounting.

    • Ability to respond with flexibility and to provide assistance in a time sensitive environment.

    • Strong customer service, interpersonal, oral and written skills.

    • Awareness of information security procedures.

    • Problem solving – individual must be able to identify and resolve problems in a timely manner.

    • Strong planning and organizational skills – the individual must be able to prioritize and plan work activities and use time efficiently.

    • Quality Control – the individual must monitor own work to ensure quality and apply feedback to improve performance when needed.

    • Adaptability – the individual must be able to adapt to change in the work environment, must manage competing demands and be able to deal with frequent change, delays or unexpected events.

    • Attention to detail and accuracy

    • High School Diploma required or related degree preferred.
