  • Responsibilities

    We are seeking an Administrative Assistant / Office Coordinator to support senior leadership at a leading global reinsurance brokerage and advisory firm. This is a highly visible, dual-function role offering the opportunity to partner closely with executives while also overseeing day-to-day office operations in a fast-paced, client-facing environment.

    Key Responsibilities:

    • Provide high-level administrative support to senior leadership and assist the broader brokerage team as needed
    • Coordinate complex domestic and international travel arrangements, partnering with a dedicated travel agency
    • Manage and submit expense reports while ensuring adherence to Travel & Expense protocols in collaboration with the Expense Management team
    • Assist in planning and executing onsite and offsite meetings, including logistics, catering, and materials preparation
    • Handle general administrative tasks such as copying, scanning, printing, and distribution of materials
    • Oversee office operations including refreshment management, supply ordering, and contributing ideas to enhance the workplace environment
    • Maintain vendor relationships, ensuring accounts, contacts, and records are current and accurate

    Qualifications:

    • 3–5 years of administrative or office coordination experience within a professional services or corporate environment
    • Strong proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint); SAP Concur experience preferred
    • Excellent written and verbal communication skills
    • Highly organized with strong multitasking and prioritization abilities
    • Detail-oriented with the ability to manage multiple responsibilities under tight deadlines
    • Proactive, adaptable, and solution-oriented with a strong sense of ownership
    • Professional demeanor with strong interpersonal skills
