About AID
Advanced Infrastructure Design, Inc. (AID) is a growing yet established consulting firm located in central New Jersey, offering professional services in non-destructive testing and evaluation (NDT/NDE) of highway infrastructure (bridges and pavements), pavement evaluation and design, geotechnical design and subsurface investigation, subsurface and utility mapping, and forensic studies. AID owns and operates an array of NDT equipment, including a Laser Crack Measurement System (LCMS), Falling Weight Deflectometer (FWD), various air-launched and ground- coupled Ground Penetrating Radar (GPR) antennas, and many others such as a high-speed profiler and walking profilers. In addition, AID runs its own soils, asphalt, and concrete materials testing laboratory.
Job Description
We are seeking an enthusiastic, highly professional, and detail-oriented Administrative Assistant to support our day-to-day operations. This full-time position offers long-term career growth for individuals with a strong work ethic and dedication. A pre-employment background check is required (paid by the employer).
Perform diverse administrative and clerical tasks to ensure efficient daily operations.
Provide direct support to Office Manager, Marketing Director, and Engineering staff.
Organize and schedule meetings, appointments, and maintain office calendars.
Manage incoming calls, emails, and general correspondence.
Track and order office supplies to maintain inventory.
Assist with document processing, filing, and record-keeping.
Support the onboarding process for new hires and maintain personnel records.
Handle sensitive and confidential information with discretion.
Assist with marketing or project-related tasks as assigned.
Qualifications
o Proven experience as an administrative or office assistant.
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
o Excellent verbal and written communication skills.
o Strong organizational, problem-solving, and time management abilities.
o Ability to prioritize tasks, manage interruptions, and multitask effectively.
o Familiarity with general office procedures and administrative systems.
o Proactive, self-motivated, and committed to excellence.
o High attention to detail with the ability to learn quickly.
o College education is highly desirable.
