Position Summary
The Administrative Assistant serves as the primary point of contact for students, parents, visitors, and staff and supports the daily administrative operations of the school. This position requires strong organizational skills, professionalism, and the ability to maintain a welcoming and efficient office environment consistent with the mission and values of Christian education.
The Administrative Assistant plays a key role in maintaining communication, managing records, and supporting school leadership in operational tasks.
Key Responsibilities:
Front Office Operations
• Answer and direct incoming phone calls • Greet visitors, parents, and students in a courteous and professional manner • Manage visitor and student check-in procedures • Monitor the front office area and maintain a welcoming environment
Student Records and Office Administration
• Maintain student records and files • Assist with enrollment and registration process • Track attendance and maintain related records • Prepare and distribute school forms, notices, and reports
Communication Support
• Communicate with parents, families, and other partners • Send school announcements or reminders • Direct questions and requests to appropriate staff members
Administrative Support
• Provide clerical and organizational support to the Head of School • Prepare documents, correspondence, and reports • Maintain calendars and schedule meetings
Financial and Logistical Assistance
• Accept tuition or fee payments when applicable • Issue receipts and maintain basic payment records • Assist with ordering office supplies and managing inventory
School Event Support
• Assist with coordination of school events and activities • Help prepare materials for meetings, programs, and school functions
Qualifications
• Strong organizational and multitasking abilities • Professional communication skills • Proficiency with computers and office software (e-mail, spreadsheets, digital records, basic office software) • Ability to maintain confidentiality with sensitive information • Prior office or school administrative experience preferred • Alignment with the mission and values of Christian education
