    We are currently seeking a highly organized and detail-oriented Remote Administrative Assistant to join our team. The ideal candidate will play a key role in supporting daily office operations, assisting management, and ensuring efficient administrative workflow. This position requires excellent communication skills, a proactive approach, and the ability to multitask in a dynamic environment.

    Responsibilities

    • Manage and organize company documents, files, and records with strict attention to confidentiality and data security

    • Coordinate meetings, prepare agendas, and take comprehensive meeting minutes for distribution

    • Respond to internal and external inquiries in a professional and timely manner

    • Maintain office supplies inventory and place orders as needed to ensure operational continuity

    • Assist in preparing reports, presentations, and correspondence for management review

    • Support multiple departments with general administrative tasks and special projects

    • Ensure smooth day-to-day office operations and workflow across remote and in-office environments

    • Manage executive calendars, schedule appointments, and coordinate meeting logistics

    • Monitor and organize email communications, prioritizing urgent matters for appropriate follow-up

    • Arrange travel accommodations, process expense reports, and maintain travel records

    • Maintain and update databases, customer relationship management (CRM) systems, and administrative records

    • Provide administrative support to new team members during onboarding and orientation processes

    • Identify opportunities for process improvement and recommend solutions to enhance operational efficiency

    • High school diploma or equivalent required; associate degree preferred

    • Minimum 1-2 years of administrative or office support experience

    • Proficient in Microsoft Office Suite (Word, Excel, Outlook)

    • Strong organizational and time management skills

    • Excellent written and verbal communication abilities

    • Ability to handle confidential information with discretion

    • Detail-oriented and capable of working independently or as part of a team
