    Binyod is seeking a proactive, detail-oriented Administrative Assistant to support the HR Director and coordinate daily HR and office operations. This position serves employees, managers, visitors, and vendors; keeps records and schedules organized; supports onboarding and offboarding; and helps deliver meetings, training, and company events. The successful candidate will communicate professionally, manage multiple priorities, and protect confidential information.

    Detailed Responsibilities

    1. Office Administration and Front-Office Operations
    • Manage daily office operations and provide general administrative support to employees and departments.
    • Answer phone calls, respond to general emails, greet visitors, and direct inquiries to the appropriate person or department.
    • Monitor office supply levels, place orders, and coordinate purchases and deliveries with approved vendors.
    • Organize and maintain electronic and physical administrative files using established naming and recordkeeping practices.
    • Schedule meetings, reserve rooms, prepare agendas, and coordinate meeting logistics and materials.
    • Prepare, format, proofread, and distribute letters, reports, presentations, and other business documents.
    • Manage incoming and outgoing mail, deliveries, packages, and shipments.
    • Maintain an organized, professional, safe, and welcoming office environment.
    1. Direct Support to the HR Director
    • Provide day-to-day administrative support to the HR Director and assist with assigned priorities and special projects.
    • Coordinate HR meetings, appointments, interviews, calendars, reminders, and follow-up communications.
    • Prepare HR reports, presentations, employee communications, forms, and supporting documents.
    • Track HR deadlines, action items, project milestones, and outstanding requests; follow up with responsible team members.
    • Help organize and update employee handbooks, HR policies, procedures, templates, and forms.
    1. Employee Onboarding and Offboarding
    • Coordinate the administrative steps for new-employee onboarding from accepted offer through orientation completion.
    • Prepare onboarding packets, employment forms, checklists, policy acknowledgments, and welcome materials.
    • Schedule orientation sessions, required training, introductions, and first-week activities.
    • Follow up with new employees to ensure all required paperwork and documentation are completed on time.
    • Maintain onboarding trackers and update employee records as authorized.
    • Coordinate offboarding checklists, exit documentation, access removal, and equipment-return activities.
    • Collect company property, including access cards, keys, documents, devices, and other assigned equipment.
    1. Employee Services and Internal Communication
    • Serve as a point of contact for general employee administrative questions and route HR-specific or sensitive matters appropriately.
    • Help employees locate HR forms, policies, procedures, benefits resources, and other company information.
    • Support employees and managers with scheduling, documentation, and routine administrative requests.
