    Position Summary

    The Administrative Assistant provides high-level administrative and operational support to executive leadership and cross-functional teams. This role is critical to ensuring the smooth day-to-day functioning of the organization by managing schedules, coordinating communications, maintaining records, and supporting internal processes. The ideal candidate is highly organized, detail-oriented, discreet, and comfortable supporting senior leadership in a fast-paced, mission-focused environment.

    Key Responsibilities

    Executive & Administrative Support

    Provide direct administrative support to executive leadership, including calendar management, meeting coordination, and travel logistics.

    Prepare agendas, take meeting notes, and track follow-up action items.

    Draft, proofread, and format correspondence, reports, and internal documents.

    Manage confidential and sensitive information with professionalism and discretion.

    Office & Operational Support

    Serve as a central point of contact for internal staff, external partners, and visitors.

    Coordinate office operations, including supplies, mail, filing systems, and shared calendars.

    Support onboarding and offboarding logistics in coordination with HR (paperwork, scheduling, access coordination).

    Assist with tracking deadlines, deliverables, and administrative workflows across departments.

    Communication & Coordination

    Support internal communication efforts by coordinating meetings, schedules, and shared resources.

    Assist in organizing events, leadership meetings, trainings, and community engagements.

    Maintain accurate records, databases, and document management systems.

    General Support

    Provide ad-hoc administrative support to leadership and teams as needed.

    Assist with basic data entry, reporting, and document tracking.

    Support continuous improvement of administrative processes and systems.

    Qualifications

    Required

    High school diploma or equivalent required; associate’s degree or higher preferred.

    3+ years of administrative or executive support experience.

    Strong organizational and time-management skills with the ability to manage multiple priorities.

    High level of professionalism, discretion, and emotional intelligence.

    Proficiency in Microsoft Office and/or Google Workspace (Outlook/Gmail, Word/Docs, Excel/Sheets, Calendars).

    Excellent written and verbal communication skills.

    Preferred

    Experience supporting executive-level leaders.

    Prior experience in a nonprofit, mission-driven, or community-based organization.

    Familiarity with HR, payroll, or basic accounting support.

    Experience working in fast-paced or evolving organizational environments.
