    JOB DESCRIPTION

    Leading Boston real estate tech platform is seeking a Administrative Assistant. Candidates should not only be able to work independently, but also thrive in a team environment with a team-player attitude. Looking for candidates who are effective at multi-tasking in a fast-paced & professional work environment. Position will perform a variety of administrative, marketing & related duties and will report directly to Upper Management. Opportunities for higher advancement from this position are also available to the right candidate.

    RESPONSIBILITIES

    This candidate would make sure the executives stay focused on revenue, growth, and key decision-making while handling most of the day to day operations. This would include managing and optimizing calendars, prioritizing meetings that drive deals, agent performance, and business expansion. They control communication flow—screening emails, responding where appropriate, and escalating only what requires executive attention.

    The role is highly proactive—anticipating needs, preparing data (market insights, listing performance, pipeline updates), and ensuring the executive walks into every meeting fully prepared and positioned to win.

    They also help enforce structure across the organization by:

    Keeping teams accountable

    Ensuring systems in place are high functioning, working with the tech team to implement changes or new tech additions

    Supporting execution of new initiatives, training, and process changes

    Assist with administration of all regulatory compliance tracking and correspondence

    Prepare Purchase Orders, actively negotiate pricing and place orders with vendors

    Assist in handling marketing inquiries and drafting presentations and agreements accordingly

    Assist EVP with operational efficiencies

    QUALIFICATIONS

    Excellent organizational and project management skills with the ability to prioritize multiple responsibilities

    Strong proficiency in Microsoft Word, Excel, PowerPoint, and Outlook (Adobe Creative Suite is a plus)

    Ability to handle confidential and time-sensitive information with discretion and sound judgment

    Open and adaptable to new technologies, including social media and recruitment marketing tools

    Exceptional attention to detail, initiative, and follow-through

    Strong written and verbal communication skills

    High level of autonomy and resourcefulness with a proactive problem-solving mindset

    Ability to work effectively under deadlines and interact with all levels of the organization

    Willingness to take full ownership of responsibilities

    Strong character, professionalism, and ethical standards

    Familiarity with real estate concepts is a plus - real estate license preferred or willingness to obtain one

    Valid driver’s license required
