We are looking for an administrative assistant who will serve as our director of first impressions and a key support person for our office and legal team. We would love to talk to people who have experience in a law firm environment, but we are also open to training the right person. Please note that this position is full-time, in-person based in our Garner, North Carolina office. Work hours are Monday - Friday, 8:30 AM - 5:30 PM. Responsibilities: Our ideal candidate is an upbeat, detail-oriented professional who will: • Offer prospective and current clients a warm welcome on the phone and in person, consistently following our established procedures to do so • Quickly become knowledgeable about our firm so that you can provide support for clients and legal staff • Complete a variety of clerical tasks accurately to support our legal team • Process heavy email and snail mail volume accurately • Maintain current client files by scanning documents quickly and accurately to the appropriate folders in accordance with established processes • Serve as a liaison and guide for prospective and current clients to ensure an outstanding customer experience • Offer and serve light refreshments to clients and visitors • Ask questions forthrightly to improve processes • Be flexible and receptive to the opportunity to evolve and advance as our office grows and expands Qualifications: Our ideal candidate is: • Known for hospitality and a friendly, outgoing demeanor • Energized by balancing two key aspects of this role: director of first impressions for visitors, guests, and the legal community, and key support person for our team of administrative and legal staff members • Capable of following established office procedures accurately and consistently • A master of details, known for accuracy and thoroughness • Comfortable in a team-oriented environment • A capable typist (50+ wpm) • Proficient in MS Word, Google Docs, Gmail, and Google Calendar, and familiar with the basic features of MS Excel and Google Sheets • Willing and able to learn user-friendly law office-specific software programs quickly • A true professional in his or her approach to their work, taking pride in contributing to a smoothly running office • Highly ethical in personal and professional dealings • Able to maintain strict confidentiality • Already holding a North Carolina Notary License, or able to obtain one immediately (a valid NC driver's license is required to obtain a notary license). Plus Factors: • Law office experience • Spanish proficiency • Familiarity with Clio Compensation: $42,000 yearly
