    About the role:

    We are seeking an Administrative Assistant who will embrace our entrepreneurial and innovative spirit. The Administrative Assistant will possess excellent communication skills and interface well with customers, vendors, and staff in the areas of administrative and service support roles in a daily basis. This position is based in Hackensack, New Jersey and has to be present in the NJ office daily.

    Job duties:

    · Courteous receptionist duties, answer phone and email inquiries in a professional manner

    · Coordinate with various vendors for company insurance policies and claims, and assist in plan audits, GL, umbrella, auto, life, health insurance renewals and etc.

    · Ensure compliance with organizational policies, procedures and regulatory agencies such as Department of Labor for safety protocols

    · Help service technicians and managers to order parts in a timely manner, tracking purchase orders, ask for quotations, prepare invoice and handle payment

    · Coordinate with headquarters, sales team, vendors and clients about chiller shipment, delivery schedule, coordinate logistics, assist in domestic and international logistics, prepare custom clearance documents etc.

    · Optimize utilization of warehouse space and manage procurement of office stationery, supply materials and warehouse necessities

    · Assist the team to provide monthly IAQ inventory list and sort out warehouse parts with the service team

    · Maintain our Amazon & Shopify store, send out delivery and package on time; fulfill service dispatch and tracking orders

    · Handle travel coordination for company staff, book the hotel and flight tickets for business travels

    · Help the accountant to organize credit card bills and invoices, data entry to Quickbook online

    · Other responsibilities as assigned by the managers

    · Report directly to the Director of Admin

    Job Qualifications:

    · Must have a valid work authorization in the United States

    · Must own a valid and clean Driver's License

    · Minimum 2 years’ admin experience in an international trade company or a similar role

    · Outstanding oral and written communication

    · Advanced working knowledge of MS Office suite & Adobe; email marketing programs and Canva skills are a plus

    · Experience with social media in a business setting

    · Demonstrated ability to handle multiple tasks simultaneously and in a time-pressured environment

    · Exceptional organization and attention to detail

    · Fluency in English & Mandarin is a must

    Compensation:

    · Compensation package is a blend of salary and incentives

    · Medical/dental/vision benefits, 401(k) plan with match

    · Salary range: $45,000~$65,000
