Position Summary: The School-Based Administrative Assistant supports the delivery of preventive dental care to students across multiple schools. This role involves coordinating patient information, managing appointment schedules, maintaining accurate records, and serving as a liaison between parents, schools, other dental offices and the dental team. The assistant ensures efficient operations both in-office and during on-site school visits while maintaining a high level of customer service and professionalism. Key Responsibilities:
Schedule, confirm, and manage student appointments for school-based and clinic dental services using Dentrix and scheduling guidelines.
Deliver and collect health history and consent forms from schools; ensure timely and accurate entry into the electronic health record.
Check Medicaid eligibility and update records accordingly.
Organize and print route slips; prepare and balance provider schedules.
Communicate with parents/guardians to confirm appointments, clarify missing information, and follow up on urgent dental needs.
Maintain a recall system and manage reschedules or cancellations.
Assist with insurance verification and billing tasks.
Provide occasional front desk coverage, assist during school events, and support clinic scheduling as needed.
Use tools such as Dentrix, ForwardHealth, Connecteam, NexHealth, and Microsoft Office suite.
Required Qualifications and Skills:
High school diploma or GED; valid driver’s license and reliable transportation.
Excellent communication, organization, and customer service skills.
Bilingual (Spanish or Hmong) strongly preferred.
Strong attention to detail, problem-solving ability, and flexibility in scheduling.
Ability to work independently and collaboratively in a fast-paced, multitasking environment.
Work Environment and Physical Requirements:
Admin Office-based; occasional travel required.
Occasional early mornings, late evenings, or weekend work for school events.
Able to lift and transport dental equipment and supplies occasionally.
