Position Summary This Administrative Assistant role supports executive scheduling, reporting, travel coordination, data management, renewals, vendor coordination, and accounts receivable follow-up. The ideal candidate is detail-oriented, proactive, and ensures nothing falls through the cracks.
Key Responsibilities
Prepare recurring and ad hoc reports using Excel and CRM data
Maintain CRM accuracy and generate basic reports
Manage executive calendars and schedule meetings
Prepare meeting materials and track action items
Coordinate domestic travel arrangements
Monitor aging reports and follow up on past-due invoices
Track and manage company licensing and insurance renewals and related documentation
Coordinate with vendors, manage subscriptions, and maintain vendor records
Maintain organized digital files and documentation
Create materials and presentations using Canva
Qualifications
2+ years of administrative or executive support experience required
Strong proficiency in Microsoft Excel required
Experience working in a CRM system (HubSpot, Salesforce, or similar)
Experience using Canva for presentations or documents required
Experience managing licensing renewals and/or vendor relationships
Excellent written and verbal communication skills
Highly organized with strong attention to detail
Professional, dependable, and proactive
Experience in fintech, commercial real estate, or lending is a plus.
Compensation $45,000 – $60,000 annually, based on experience.
