    Job Summary

    We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling appointments, planning meetings, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.

    Responsibilities

    Maintain organized filing systems, both physical and digital, including data entry and document management

    Schedule appointments, coordinate calendars, and assist with meeting arrangements using tools like Google Workspace and Microsoft Office

    Provide customer support by addressing inquiries promptly and professionally, ensuring positive interactions

    Perform clerical tasks such as proofreading documents, managing correspondence, and preparing reports

    Support office management tasks including supply inventory, basic bookkeeping with QuickBooks, and general administrative duties

    Qualifications

    Proven experience in office administration or clerical roles with strong organizational skills

    Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications

    Excellent computer literacy and data entry skills with high accuracy and attention to detail

    Bilingual abilities are highly desirable to serve diverse client needs effectively

    Experience with calendar management, and customer service best practices

    Strong typing skills along with effective time management to prioritize tasks efficiently

    Previous experience as a receptionist or personal assistant is a plus.

    Knowledge of bookkeeping software such as QuickBooks or basic office management tools is preferred
