POSITION: Administrative Assistant
FULLTIME: ASAP - 10/30/26 (LOA Coverage)
LOCATION: New York, NY
SCHEDULE: Monday – Friday (8:30am – 6pm) / In office
PAY RANGE: $33/HR

JOB DESCRIPTION:
• Professional with previous experience (10+ years) providing administrative support to large groups (i.e., 10 or more people)
• Providing support to multiple team members and leaders
• Fast pace and work effectively under pressure
Responsibilities include:
• Calendar management, travel scheduling and expense processing
• Conference preparations, logistics and organization
• Communicating and interacting with all levels of the group and across business functions
Required Skills:
• Extensive diary management for the senior manager and related team members
• Strong attention to detail
• Ability to work effectively under pressure and with time constraints and the flexibility to work extended hours when required
• Strong written and verbal communication skills
• Strong concur experience processing travel and expenses
• Advanced skills in Outlook and MS Office programs (Excel, Word, PowerPoint, Concur)
Overview of work being done:
The Administrative Assistant will provide administrative support to a team of Equity Salespeople in a fast paced environment. This includes the following:
• Coordinate internal and external events, oversee room / venue bookings including catering, technology and other logistics required
• Arrange for travel and process expense reports in a timely manner using Concur
• Manage Outlook Calendars, including scheduling and prioritizing meetings and itineraries for sales teams
