    We are seeking a detail-oriented and proactive Administrative Assistant, Clinical Research to join our dynamic team. This role provides essential clerical and administrative support to our leadership, clinical providers, and research staff in a fast-paced clinical research environment. The ideal candidate will help ensure smooth daily operations and contribute to the successful coordination and execution of research studies.

    Responsibilities include organizing and maintaining research data and records, supporting regulatory compliance, managing study logistics, and assisting with patient and community engagement activities.

    Key Responsibilities

    Regulatory & Compliance Support:

    Maintain up-to-date Investigator Site Files (ISFs) and regulatory binders (paper and eRegulatory)

    Assist with study start-up, including IRB submissions and sponsor communications

    Track and manage essential documents (e.g., CVs, licenses, 1572s, financial disclosures)

    Monitor document expirations and renewals (e.g., training records, IRB approvals)

    Support audit and inspection readiness for sponsor and regulatory bodies

    Patient & Community Engagement:

    Help coordinate patient recruitment and outreach efforts

    Manage patient appointment scheduling and pre-screening surveys

    Assist in organizing community education and screening events

    Track patient engagement and communication metrics

    Administrative Support:

    Coordinate internal team meetings and manage supply inventory

    Draft and distribute meeting minutes

    Serve as a liaison between staff, patients, sponsors, and vendors

    Support Clinical Research Coordinators and leadership on special projects

    Qualifications & Requirements

    Education:

    High school diploma or GED required; associate or bachelor’s degree preferred

    Experience:

    Minimum 1 year of experience in a medical, administrative, or clinical research setting

    Familiarity with FDA regulations, HIPAA, and ICH-GCP guidelines preferred

    Certification:

    Certification in medical administration or clinical research is a plus

    Skills & Abilities:

    Excellent organizational skills and attention to detail

    Strong communication and interpersonal skills

    Ability to multitask and manage shifting priorities independently

    Proficiency in Microsoft Office (Word, Excel, Outlook, Teams) and cloud-based platforms

    Benefits

    Competitive hourly compensation: $20.00–$27.00/hour

    Full-Time: Monday to Friday, 8:00 AM – 5:00 PM

    Hybrid/Remote role based in Los Angeles, CA
