    Job Title: Administrative Assistant (Receptionist Support)
    Location: Federal Retirement Thrift Investment Board (FRTIB), Office of Resource Management (ORM)
    Clearance Requirement: Moderate Risk Public Trust (Sponsored by FRTIB)

    Position Summary:

    The Administrative Assistant will provide receptionist and administrative support services to the Office of Resource Management (ORM) at the Federal Retirement Thrift Investment Board (FRTIB). The primary responsibility is to serve as the front-line point of contact for staff and visitors while ensuring efficient office operations. Administrative support will be provided on an as-needed basis to cover temporary staffing gaps.

    Key Responsibilities:

    Receptionist Duties (Primary Requirement):

    • Serve as the first point of contact for all visitors and incoming calls.

    • Identify the purpose of each inquiry and direct individuals appropriately:

      • Refer to the Office Director.

      • Redirect to other agency personnel or departments.

      • Address personally when appropriate.

    • Invite customers to complete administrative support surveys to assess satisfaction.

    Administrative Support Duties (As Needed):

    • Prepare and organize materials and briefings for the Director's appointments and meetings.

    • Receive, sort, and log incoming mail; distribute appropriately with necessary annotations.

    • Schedule meetings and conferences, including securing space, notifying participants, and resolving logistical concerns.

    • Attend meetings as needed to record notes, attendance, and minutes; ensure follow-up on action items.

    • Coordinate travel arrangements for the Director and other staff as required.

    • Maintain office files, determining the relevance and extent of materials stored.

    • Review and manage emails, track action items, and maintain databases and automated systems.

    • Manage office supply inventories and equipment; process purchase requests and subscriptions.

    • Perform timekeeping duties and manage office space, telephone, and equipment installations or repairs.

    • Apply advanced skills in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, and Forms) to perform daily tasks and produce high-quality documents.

    • Ensure all communications and deliverables are grammatically correct, professional, and clear.

    Qualifications:

    • Proven experience as an administrative assistant or receptionist, preferably in a federal or professional office setting.

    • Proficiency in Microsoft Office applications.

    • Strong verbal and written communication skills.

    • Ability to maintain confidentiality and handle sensitive information.

    • Excellent organizational and multitasking abilities.

    • Detail-oriented with strong time management skills.

    • Ability to work independently and collaboratively.

    • Must be able to pass and maintain a Moderate Risk Public Trust background investigation (sponsored by FRTIB).
