    Administrative Assistant – Entry Level

    Position Summary

    The Administrative Assistant – Entry Level classification is intended for personnel who are beginning their administrative careers or who have limited prior experience in office support roles. Individuals in this position perform basic clerical and administrative functions under close supervision and support higher-level administrative staff and State personnel with routine office tasks.

    This position supports the Maryland Department of Housing and Community Development (DHCD) at its headquarters in Lanham, Maryland. Temporary Staff provided under this role are employees of the Contractor and will supplement existing Department resources.

    Examples of Tasks and Responsibilities

    The Administrative Assistant – Entry Level may perform, but is not limited to, the following duties:

    Answering phones, greeting visitors, and directing inquiries to appropriate staff

    Performing basic data entry and updating records or logs

    Filing, scanning, copying, and organizing documents (paper and electronic)

    Assisting with routine correspondence, such as preparing templates or standard forms

    Sorting and distributing mail and electronic communications

    Assisting with scheduling meetings and maintaining calendars under supervision

    Performing general office support tasks and other related duties as assigned

    Examples of Equipment and Software Used

    Personal computer

    Photocopier and scanning equipment

    E-Fax systems

    Microsoft Office Suite (basic proficiency in Word and Excel)

    Google Platform (basic use of Gmail, Google Drive, Google Docs)

    Document management and scanning software, such as DocuShare Community Development (DHCD)

    Minimum Qualifications

    High school diploma or equivalent

    Basic computer skills and familiarity with office software

    Ability to follow instructions and established procedures

    Strong attention to detail and willingness to learn

    Effective verbal and written communication skills

    Work Environment

    Work will be performed onsite at client's headquarters in Lanham, Maryland, unless otherwise directed

    The State will provide normal office working facilities and equipment reasonably necessary for performance
