    Job Summary

    We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling appointments, planning meetings, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.

    Responsibilities

    Answer incoming phone calls and route them to the appropriate person, maintain auto attendant greetings, etc.

    Answer the door, greet and assist visitors, receive packages from couriers and distribute accordingly.

    Send packages out through couriers, and check and distribute the mail daily.

    Schedule appointments, meetings and maintain a calendar on Outlook.

    Order and maintain office supplies, keep the kitchen tidy and clean.

    Set up the Conference room for client meetings, and clean after each meeting.

    Assists with marketing, sending out weekly commentary, paying bills and sending out monthly birthday cards.

    Maintain an online organized filing system.

    Develop, update, and maintain relevant office procedures. Assists co-workers with clerical worked when asked.

    Qualifications

    High school diploma/GED required, Associate’s degree or administrative training is preferred.

    Previous experience as an Administrative Assistant or in a similar position, 3-5 years minimum.

    Familiarity with standard office equipment such as printers, online faxing, fax machines, scanners, and stamp machines.

    Excellent computer skills and knowledge of CRM, online filing system, Microsoft Word, Outlook, Excel, and PowerPoint.

    Highly organized with excellent time management skills and the ability to prioritize projects. Able to work well with others as well as work independently.

    Must have excellent communication skills (verbal and written), as well as the ability to follow-up and follow-through.
