We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor. Previous experience as an Administrative Assistant in the medical office/home health setting is required.

Responsibilities
Responsible for scheduling agency patient visits.
Scheduling includes invoicing, Preparing Payroll
Maintains and updates patient information to enhance highest quality patient care.
Consults with all members of the treatment team and DON on a regular basis to coordinate quality, goal-oriented home health care.
Serves as liaison between patients, caregivers, doctors and doctors office staff, agency administrative staff and contracted services.
Daily tracking/assist in faxing and follow up on Physician Orders (PO’S) and Plan of Care (POC).
Organizes, sorts, and maintains documentation in patient files in a timely manner.
Provides clerical support which includes preparation of Admission, Orientation and New Hire packets, typing, special projects, filing and copying.
Assists with maintenance of personnel files.
Assist in Payroll preparation as well as coordination of invoices to Administrator.
Assists with communications which include phone system, memo’s, answers incoming calls, documents and disseminates appropriate messages.
Provides computer support and data entry daily.
Promotes the agency’s philosophy and mission by presenting a positive image to patients/families, physicians and community agencies.
Provide effective communication to patient/family, team members, and other health care professionals and maintain confidentiality.
Receives and appropriately documents new referrals in a timely manner.
Provides effective communication to patients/clients, staff members, other health care professionals and referral sources.
Responds to Agency and patient/client needs in a professional and creative manner.
Demonstrates commitment, professional growth and competency.
Participates in Agency-sponsored In-Service training.
Promotes the Agency philosophy and administrative policies to ensure quality of care.
Performs other duties as required.
Verification and Authorization of potential patients
Process Referral to DME, therapist, lab work, and other and follow up
Experience:
·Previous experience in a home health office assistant or administrative role preferred
Proficient in data entry and computer literacy
Experience with order entry systems is a plus (Axxess)
Knowledge of Microsoft Word, MS Teams, Excel, and Zoom.
Strong customer service skills and ability to handle inquiries professionally
Ability to multitask and prioritize tasks effectively
Excellent organizational skills with attention to detail

Qualifications
High school diploma/GED required, Associate’s degree or administrative training is preferred
Previous experience as an Administrative Assistant or in a similar position
Familiarity with standard office equipment such as printers and fax machines
Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
Highly organized with excellent time management skills and the ability to prioritize projects
