Position Summary
We are seeking a dependable, organized, and detail-oriented Office Assistant to support the daily administrative operations of our personal care agency. This position works closely with management, office staff, caregivers, and clients and is responsible for helping ensure that records, communications, scheduling, and administrative tasks are completed accurately and on time.
Previous experience in a personal care agency, home care, home health, medical office, Medicare/Medicaid provider, or healthcare setting is preferred.
Key Responsibilities
Answer and route incoming telephone calls
Communicate with caregivers, clients, families, and office staff
Assist with caregiver onboarding and new-hire paperwork
Maintain organized employee and client files
Scan, upload, file, and organize documents
Review paperwork for missing information and follow up as needed
Track employee credentials and required documentation
Assist with caregiver schedules and schedule changes
Assist with client intake paperwork
Enter and update information in agency software and spreadsheets
Assist with EVV, timesheet, and service documentation follow-up
Prepare correspondence, forms, reports, and other office documents
Monitor emails and respond or route requests appropriately
Maintain confidentiality of client and employee information
Assist management and the Office Manager with administrative projects
Perform general office duties as assigned
Preferred Qualifications
Previous administrative or office experience
Experience with a personal care agency, home care agency, home health agency, Medicare/Medicaid provider, medical office, or healthcare organization preferred
Strong computer and data-entry skills
Experience with Google Workspace
Excellent organizational skills
Strong attention to detail
Professional telephone and communication skills
Ability to multitask in a busy office
Dependable attendance and punctuality
Ability to follow instructions and complete assignments without constant supervision
Comfortable communicating with caregivers and clients
