Hoosick Regional EMS is seeking a highly organized, dependable, and detail-oriented Administrative Assistant to support the daily administrative, financial, and operational functions of the organization. This position plays a key role in maintaining office efficiency, supporting leadership, assisting with human resources tasks, managing bookkeeping responsibilities, and helping ensure smooth day-to-day operations.
The Administrative Assistant Assistant must be professional, trustworthy, and able to handle confidential information with discretion.
Primary Responsibilities
Administrative Duties
Perform general office duties including filing, data entry, document preparation, recordkeeping, and correspondence
Answer phone calls, respond to emails, and assist with general inquiries
Maintain organized office systems, records, and files
Assist with scheduling, meetings, reports, and internal communications
Support agency leadership with administrative projects and daily operational needs
Maintain supply inventories and assist with office management tasks
Financial and Bookkeeping Duties
Handle financial bookkeeping functions
Complete bank reconciliations and account reconciliations
Enter and maintain accurate financial records
Assist with accounts payable and accounts receivable
Prepare financial reports for review by leadership and the Board of Directors
Attend board meetings and present financial information as needed
Maintain confidentiality of all financial records
Human Resources Support
Assist with onboarding paperwork and employee/member documentation
Maintain personnel files and required credential records
Help track employee/member certifications, training records, and required documentation
Assist with basic HR-related administrative tasks
Support communication with staff, members, vendors, and outside partners
EMS Billing and Coding Requirement
Must obtain a Certified Ambulance Coding Certification within one year of employment
Certification will be provided and paid for by the company
Assist with ambulance billing-related administrative tasks once trained
Qualifications
Prior administrative, bookkeeping, office management, or executive assistant experience preferred
Strong organizational and time-management skills
Ability to maintain confidentiality and use sound judgment
Proficiency with computers, email, spreadsheets, and office software
Experience with bookkeeping or financial recordkeeping preferred
Strong written and verbal communication skills
Ability to work independently and manage multiple priorities
Professional, dependable, and detail-oriented
EMS, healthcare, nonprofit, or municipal experience is helpful but not required

Full-time position
Starting pay: $24.00
