Our Montclair office is a new, growing hub — and we’re looking for someone who loves being the steady, welcoming presence that keeps everything running smoothly and thrives in a role with variety. You’ll be the on‑site anchor for our Montclair office, supporting staff, families, and operations with professionalism, warmth, and strong organizational skills. This role includes some solo office coverage, so confidence, initiative, and reliability are essential.
🧩 Key Responsibilities
Serve as the primary on‑site presence, greeting visitors, staff, and families.
Maintain a clean, organized, welcoming office environment.
Answer phones and respond to general inquiries with warm, professional support to staff, participants, families, and community partners.
Manage mail, packages, office supplies, and inventory.
Coordinate vendor visits (cleaning, maintenance, deliveries).
Troubleshoot basic office equipment issues (printers, Wi‑Fi, supplies).
Support scheduling for meetings and program activities.
Prepare documents, forms, basic reports and maintain filing systems (digital and physical).
Support compliance tasks
Jump in on special projects, events, or urgent operational needs.
Problem‑solve small issues independently and escalate when appropriate.
Adapt to evolving needs as the office grows.
Provide administrative assistant coverage for other regional locations as needed
🎯 Required Skills
2+ years of administrative or office support experience
Comfort interacting with youth and adults with intellectual/developmental disabilities
Strong organization and multitasking skills
Comfort working independently and making decisions within guidelines
Excellent communication and customer service skills
Proficiency with Google Workspace and open to learning new systems quickly
Reliability, professionalism, and confidentiality
