    Position Overview

    We are seeking a highly organized and proactive Administrative Assistant to support executive leadership, HR, and daily operations. This role is essential in keeping our organization running smoothly. The ideal candidate is detail-oriented, tech-savvy, and able to manage multiple priorities independently.

    Key Responsibilities

    1. Executive / CEO Support

    Coordinate events and conference logistics (e.g., ABA conferences)

    Assist with creation and organization of marketing materials

    Post content on social media

    Communicate with vendors

    Request quotes, compare pricing, and make approved business purchases

    1. HR Administrative Support

    Assist with onboarding paperwork (offer letters, documents, checklists)

    Track employee documentation (licenses, RBT certifications, expirations)

    Maintain HR files and compliance records

    Send reminders for credential renewals, missing onboarding items, and annual trainings

    Maintain candidate tracking sheets

    Prepare basic HR reports (turnover, hires, etc.)

    1. Operations / General Admin Support

    Perform data entry and maintain organized records (insurance info, employee data, etc.)

    Maintain trackers and spreadsheets

    Prepare and format documents (forms, templates, letters)

    Support internal communications (announcements, reminders)

    Qualifications

    1–3 years of administrative experience (healthcare experience preferred)

    Strong organizational and time management skills

    Proficiency in Microsoft Office (Excel required)

    Excellent written and verbal communication skills

    Ability to handle confidential information

    Detail-oriented, proactive, and tech-savvy

    Preferred (Not Required):

    Experience in HR

    Experience in healthcare or ABA

    Experience supporting leadership

    Location: Miami-Dade, FL (Hybrid): In-Office: Tuesday–Thursday | Remote: Monday & Friday Compensation: $22–$25/hour (based on experience)
