Join a high-impact federal operations team supporting critical infrastructure and national security operations. The Administrative Assistant I provides comprehensive administrative and operational support to the Western Area Power Administration (WAPA), ensuring efficient execution of mission-critical functions across headquarters and regional teams.
This role supports a wide range of administrative services, including records management, scheduling, reporting, travel coordination, and compliance-related activities, while handling sensitive and controlled information in accordance with federal standards.

Provide comprehensive administrative support services to ensure efficient office operations
Perform typing, copying, scanning, filing, and document preparation
Maintain office calendars, schedules, and publications
Prepare and compile reports, presentations, and spreadsheets
Manage incoming and outgoing mail, fax, and telephone communications
Schedule meetings, appointments, and training activities
Prepare agendas, record meeting minutes, and track action items
Coordinate logistics for conferences and meetings, including materials preparation
Track due dates and deliverables as directed by leadership
Arrange travel and process vouchers using Concur
Provide Concur training to contractor staff
Support timekeeping processes (e.g., ATAAPS) and assist with corrections as needed
Submit reimbursement and IT service requests on behalf of staff
Maintain and update department files, records systems, and document repositories
Support records retention, naming conventions, and SOP development
Manage electronic and hard copy filing systems to ensure accessibility and compliance
Update and maintain SharePoint and myWAPA sites
Ensure all documentation is properly logged, structured, and retrievable
Prepare correspondence and finalize documents including letters, memoranda, and reports
Review documents for compliance with WAPA standards, including grammar, formatting, and clarity
Proofread and route official correspondence for leadership review and approval
Handle and safeguard sensitive information, including:
Ensure compliance with WAPA security policies, procedures, and federal regulations
Maintain personnel contact records and secure document handling practices
Support Performance Assurance Program coordination, including scheduling assessments
Assist with threat information gathering and reporting activities as directed
Track and support administrative requirements for HQ and regional security operations
Support onboarding and offboarding processes
Perform credentialing duties in accordance with Homeland Security Presidential Directive 12 (HSPD-12)
