Administrative Assistant II – Job Description
Position Summary
The Administrative Assistant II classification is intended for personnel with advanced administrative experience who are capable of performing complex clerical and administrative duties with minimal supervision. Individuals in this role provide high-level administrative support to managers, program leadership, or multiple functional units and may guide or support lower-level administrative staff.
This position supports the Maryland Department of Housing and Community Development (DHCD) at its headquarters in Lanham, Maryland. Temporary Staff provided under this role are employees of the Contractor and will supplement existing Department resources.
Examples of Tasks and Responsibilities
The Administrative Assistant II may perform, but is not limited to, the following duties:
Drafting, editing, and finalizing correspondence, memoranda, reports, and administrative documents
Coordinating meetings, preparing agendas, recording notes, and tracking follow-up action items
Managing calendars and scheduling meetings involving multiple internal and external stakeholders
Maintaining, organizing, and safeguarding confidential or sensitive records and files
Compiling, analyzing, and summarizing data for reports, spreadsheets, and presentations
Serving as a point of contact between program staff, management, and external partners
Supporting onboarding coordination, administrative compliance tracking, and workflow management
Providing guidance or informal oversight to Administrative Assistant I and Entry Level staff
Identifying opportunities to improve administrative processes and office efficiency
Performing other related administrative duties as assigned

Microsoft Office Suite (advanced proficiency in Word and Excel)
Google Platform (Gmail, Google Drive, Google Docs, Google Sheets, Google Calendar)
Document scanning and management software, such as DocuShare Community Development (DHCD)
Minimum Qualifications
Several years of progressively responsible administrative or office support experience
Demonstrated ability to perform complex administrative tasks independently
Advanced proficiency in Microsoft Office and document management systems
Strong organizational, communication, and problem-solving skills
Experience supporting managers, program leads, or senior staff preferred
Work Environment
Work will be performed onsite at client's headquarters in Lanham, Maryland, unless otherwise directed
The State will provide normal office working facilities and equipment reasonably necessary for performance
