    Administrative Assistant II

    Location: New York, NY 10029

    Schedule: Monday–Friday, 9:00 AM – 5:00 PM

    Pay Rate: $21–$22/hour

    Position Summary

    Seeking an experienced Administrative Assistant to provide comprehensive administrative and operational support within a healthcare/academic environment. The ideal candidate will possess strong organizational, communication, and problem-solving skills and be able to manage multiple priorities effectively.

    Responsibilities

    • Research, locate, compile, and organize information for reports and statistical analyses.

    • Prepare and monitor budgets, grant allocations, and financial documents.

     

    • Maintain employee files and assist with HR and payroll transactions.

    • Coordinate with Human Resources and Payroll to resolve issues and ensure compliance.

    • Plan and coordinate meetings, conferences, seminars, and special events.

    • Prepare informational materials, transcribe meeting minutes, and distribute documentation.

    • Investigate and resolve administrative and operational issues.

    • Review and organize materials for management approval.

    • Maintain office supplies and inventory; coordinate purchasing and vendor relations.

    • Track vendor contracts and renewals.

    • Serve as a liaison with internal departments and external partners.

    • Assist with grant applications, survey preparations, and special projects.

    • Arrange travel accommodations and prepare expense reports and reimbursements.

    • Manage incoming mail, phone calls, and correspondence.

    • Schedule patient appointments, referrals, special testing, and maintain billing records.

    • Perform other duties as assigned.

    Qualifications

    • Associate's degree required; Bachelor's degree preferred.

    • Minimum of 4 years of related administrative or business experience.

    • Intermediate proficiency with Microsoft Office Suite.

    • Excellent communication and interpersonal skills.

    • Strong time management and organizational abilities.

    • Ability to adapt to changing priorities and work effectively under pressure.

    • Demonstrated problem-solving and decision-making skills.

    • Commitment to customer service and teamwork. Preferred Experience

    • Healthcare, academic, or business office experience.

    • Exposure to HR, payroll, budgeting, purchasing, and vendor management.

    • Experience coordinating meetings, events, and special projects.

    • Familiarity with patient scheduling, referrals, and billing processes.
