We are an industrial distributor currently seeking an Administrative Assistant to join our team!
Duties and Responsibilities
Upload and data entry of quotations and work orders
Review orders for errors (spelling, pricing, missing material/equipment)
Assist with entering invoices into the company accounting system
Email invoices, receipts and shipment tracking information to customers daily and respond to related email inquiries
File or scan and organize all completed purchase orders
Assist with tracking and follow up on outstanding invoices
Answer and direct phone calls
Answer and direct front door intercom system
Provide support and information to the sales and accounting department as requested
Provide help when needed with various clerical projects for other employees, sales and management staff
Qualifications and Experience
2+ years of experience working in an office support capacity
Accurate, detail-oriented data entry skills
Ability to work in a fast-paced atmosphere with attention to detail
Multi-task oriented with strong organizational skills and ability to prioritize
Ability to meet deadlines
Proficient in Microsoft Office including Word, Excel, Outlook
Excellent verbal and written communication skills
