    We are seeking a highly organized, proactive, and trustworthy Administrative Assistant to join our team. In this role, you will be taking charge of the day-to-day operations of our office and supporting both professional and personal tasks that are essential to our success. This is a dynamic position that blends administrative, operational, and personal support responsibilities in a fast-paced, mission-driven environment. You will be entrusted with managing sensitive information and coordinating a wide range of tasks—from office management and vendor communication to event planning and travel coordination. Your ability to take initiative, maintain confidentiality, and bring structure and consistency to our workflows will directly impact the efficiency of our team and the growth of our firm. Responsibilities: Office Administration • Monitor, research, and purchase office supplies • Order lunch for the team as needed • Create and order business cards, stationery, and swag • Help create and maintain relevant policies, procedures, checklists Communication • Make phone calls and draft emails • Write and send handwritten thank-you, birthday, holiday, and congratulatory notes • Liaise with vendors (e.g., IT support) and follow up on service tickets • Follow up with staff regarding time reports and other internal tasks Payments Financial Administration • Pay office rent and manage vendor payments • Research and coordinate with insurance brokers for firm and personal insurance • Track subscriptions and ensure billing accuracy In-Office Reception • Greet clients and visitors warmly • Accept payments and issue receipts • Sort and manage incoming mail and packages • Organize client documents and maintain a tidy office environment Paper Document Management • Shred, scan, and file documents • Print and mail legal packets and correspondence Intern Supervision • Assist in supervising and managing interns Data Entry • Input data into CRM systems, invoices, and other platforms Trip Day Planning • Plan business and personal travel (hotels, flights, itineraries) • Plan family outings and date nights • Book appointments (e.g., hair, nails, dining) Event Planning • Plan client appreciation events • Plan domestic and international team retreats Research • Conduct research for office and personal needs (e.g., summer camps, vendors, supplies) Qualifications: • Proactive and resourceful, with a strong ability to solve problems independently • Highly organized and values the structure provided by systems, policies, and procedures • High level of discretion and professionalism • Strong written and verbal communication skills • Proven experience in an administrative or executive assistant role • Proficiency with office software (Microsoft Office, CRM tools) • Ability to manage both professional and personal tasks with care and efficiency • Experience in a legal or professional services environment is a bonus • Spanish bilingual or multilingual skills are a bonus Compensation: $22 - $25 hourly
