Job Summary
Administrative Assistant – HVAC/Electrical Company
We are seeking a motivated, organized, and customer-focused Administrative Assistant to join our team. In this role, you will support daily office operations and help ensure our technicians and office staff have the information and resources needed to provide excellent service to our customers. This position plays an important role in maintaining efficient scheduling, clear communication, and a positive customer experience.
Responsibilities
Answer incoming phone calls and respond to customer inquiries in a professional and friendly manner
Schedule service calls, maintenance appointments, and installations for HVAC and electrical technicians
Dispatch technicians and coordinate schedules to ensure timely service
Communicate with customers regarding appointments, estimates, and service updates
Assist with permits, inspections, and maintaining required licensing documentation
Process invoices, payments, and maintain accurate customer records
Manage membership accounts and follow up on renewals
Maintain organized files for work orders, estimates, and service agreements
Provide general administrative support to office staff and management
Qualifications
Previous administrative or office experience preferred
Strong customer service and communication skills
Excellent organizational and multitasking abilities
Ability to work in a fast-paced environment and manage multiple priorities
Proficiency with computers and office software (email, scheduling systems, etc.
Experience in HVAC, electrical, or construction industries is a plus but not required
Experience with Service Titan a plus
