We are a growing telecommunications and low-voltage company seeking a dependable Administrative Assistant to support our daily operations. This role is critical in coordinating office functions that keep our field technicians and projects running efficiently. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced service environment.
Key Responsibilities:
Answer and route incoming calls from customers, vendors, and technicians
Assist with scheduling and communication between office staff and field technicians
Handle shipping and receiving of telecom equipment, parts, and materials
Enter and apply customer invoice payments accurately
Monitor accounts receivable and follow up on unpaid invoices
Order parts, materials, and supplies for ongoing jobs and stock inventory
Maintain accurate records of orders, shipments, and invoices
Provide general administrative support to project managers and leadership
Qualifications:
Previous administrative experience (telecom, construction, or service industry preferred)
Strong organizational and multitasking abilities
Excellent phone etiquette and customer service skills
Familiarity with invoicing, accounts receivable, or basic accounting processes
Comfortable working with job tracking or PSA systems (experience with systems like HaloPSA is a plus)
Proficient in Microsoft Office or similar software
Comfortable working with QuickBooks
Ability to prioritize tasks and adapt in a fast-paced environment
Preferred (Not Required):
Experience in telecommunications, cabling, or low-voltage industry
Understanding of parts ordering, job materials, or service workflows
