    Administrative Assistant - Long Beach, CA

    Pay range is $21 to $24 per hour

    Overview

    We are looking for an Administrative Assistant who enjoys supporting a busy team, staying organized, and keeping daily operations running smoothly. This role is ideal for someone who is detail oriented, proactive, and comfortable managing a steady flow of administrative tasks in a fast paced environment.

    Key Responsibilities

    • Provide general administrative and clerical support including data entry, mailing, scanning, faxing, and copying
    • Maintain organized electronic and hard copy filing systems
    • Sort and distribute incoming mail and correspondence
    • Manage calendars and schedule meetings, appointments, and travel for managers
    • Coordinate inspections with onsite staff including bank, lender, Section 8, city, and health department visits
    • Create calendar invites and assist with scheduling needs
    • Complete questionnaires, reports, and required documentation
    • Prepare and update documents, correspondence, reports, memos, and emails
    • Track inbound freight and follow up on priority orders
    • Generate and maintain reports to support management
    • Assist with special projects including vendor outreach, obtaining bids, and creating custom reports
    • Support resident communication and escalate concerns when needed
    • Process rental applications and run weekly reports
    • Assist with rent collection tasks and rental assistance cases
    • Review ledgers, research discrepancies, and support account accuracy
    • Assist residents and onsite staff with payment questions and account inquiries
    • Research and resolve online payment issues
    • Enter rent increases, renewals, Section 8 updates, and market rent changes
    • Review Section 8 portals for holds, abatements, or payment changes
    • Prepare notices and tenant files for eviction filings
    • Submit ownership change packets to housing authorities
    • Run renewal and rent increase reports and distribute notices

    Qualifications

    • One to two years of administrative support experience
    • Strong skills in Microsoft Word, Microsoft Excel, and Google Suite
    • Experience with standard office equipment
    • Excellent written and verbal communication skills
    • Strong organization, prioritization, and problem solving abilities
    • High attention to detail and accuracy
    • Ability to work independently and as part of a team
    • High School Diploma required, Bachelor’s degree preferred
