We are seeking a highly organized and professional Administrative Assistant to support the daily operations of our property management office in a luxury high-rise residential building. The ideal candidate will serve as the first point of contact for residents, vendors, and guests, ensuring a seamless and elevated service experience. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment while maintaining the sophistication expected in a luxury setting.
Key Responsibilities
Resident & Guest Relations
Greet residents, visitors, and vendors with professionalism and courtesy
Respond promptly to inquiries via phone, email, and in-person
Assist residents with service requests, amenity reservations, and general building information
Administrative Support
Maintain resident records, Purchase / lease agreements, and property management files
Schedule appointments, meetings, and property tours
Coordination & Support
Support event planning and resident engagement activities Handle confidential information with discretion
Job Requirements
Education & Experience
High school diploma required; associate’s or bachelor’s degree preferred Minimum 2 years of administrative or property management experience (luxury or hospitality background a plus)
Technical Skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Experience with property management software (e.g., Building Link) preferred
Strong typing and data entry skill
Interpersonal Skills
Excellent verbal and written communication skills
