Case & Client Support (Pre-Litigation):
Open new client files and assist with initial intake paperwork.
Act as a primary point of contact for clients, providing updates and gathering necessary information with empathy and professionalism.
Draft, proofread, and format various correspondence, demand letters, and other pre-litigation documents.
Schedule and coordinate client appointments, independent medical examinations (IMEs), and property inspections.
Request and meticulously track medical records, bills, police reports, and other crucial evidence from providers and agencies.
Maintain and organize electronic case files, ensuring all documentation is accurately filed and easily accessible.
Administrative & Operational Support:
Answer and direct incoming phone calls, taking detailed messages as needed.
Manage office supplies and ensure all equipment is functioning properly.
Process incoming and outgoing mail, including certified mail.
Assist with other general office administrative tasks as assigned.
Driving & Errand Responsibilities:
Conduct local errands, including but not limited to: retrieving mail from other locations, trips to the bank.
Transport documents or other items to and from off-site storage, if applicable.
Assist with client support logistics, which may include occasional local travel to assist clients or facilitate case progression.
Qualifications & Requirements:
High school diploma or equivalent (required); Associate’s or Bachelor’s degree is a plus.
Minimum of 1-2 years of administrative experience, preferably in a personal injury or other legal setting.
Valid driver’s license, clean driving record, and reliable personal vehicle required.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and case management software (e.g., FileVine, Clio, MyCase).
Exceptional organizational and time-management skills with the ability to prioritize tasks in a deadline-driven environment.
Strong written and verbal communication skills.
High degree of discretion and confidentiality when handling sensitive client information.
Professional demeanor and a client-centered approach.
