    Job Responsibilities

    Tax Process Management:

    Assemble, organize, and send tax-related documents to clients, including tax returns and supporting paperwork.

    Manage the tax filing process by preparing, submitting, and tracking the status of tax returns and extensions.

    Client Communication:

    Contact clients to request missing tax documents, providing clear instructions and deadlines.

    Manage inquiries and ensure clients are informed throughout the tax process.

    Accounts Receivable:

    Prepare and track client invoices, ensuring accuracy and timely payments.

    Apply client payments to the A/R system.

    Database Management:

    Maintain and update databases with accurate client information

    Ensure data integrity and confidentiality.

    Document Management:

    Download and save client-provided tax documents from various platforms.

    Scan and securely store client tax documents in the firm’s document management system.

    Maintain organized and up-to-date electronic and physical records of tax documents and client communications.

    General Administrative Support:

    Provide general administrative support to the Professional Staff, assisting with scheduling, filing, and other tasks as required.

    Other Job Details:

    Full-time and on-site in Parsippany, NJ.

    Standard hours 9:00am-5:00pm.

    Flexibility and willingness to work extended hours (evenings/weekends), January-April, September-October, and as needed.

    Competitive salary - negotiable based upon your experience.

    Required Qualifications:

    High School graduate or equivalent.

    At least 2 years of office experience.

    Client service experience.

    Strong proficiency in Microsoft Office Suite, especially Excel.

    Strong proficiency in Adobe Creative Cloud (editing pdf documents).

    Excellent verbal and written communication skills, organizational and analytical skills, and diligence.

    Professional demeanor and presentation.

    Ability to thrive in a demanding environment.

    You will stand out if you have:

    CPA Firm experience providing admin support for tax, audit, or accounting departments.

    Knowledge of tax, accounting, and financial terminology.

    Experience with A/R and A/P.

    Associate or Bachelor’s Degree.
