    Job Summary We are seeking a motivated and personable Medical Administrative Assistant to join our healthcare team. In this role, you will support daily front-office operations and ensure a smooth and professional experience for patients and clinical staff. Responsibilities include managing patient communications, scheduling appointments, maintaining accurate records, and assisting with administrative workflows in a fast-paced medical environment.

    The ideal candidate is highly organized, detail-oriented, and compassionate, with strong communication skills and the ability to maintain confidentiality while interacting with patients and healthcare professionals.

    Responsibilities

    Answer incoming phone calls, assist patients, and route calls to appropriate clinical staff

    Schedule and confirm patient appointments while maintaining an accurate provider calendar

    Check patients in and out, ensuring all required documentation is completed

    Maintain and update electronic medical records (EMR) accurately and efficiently

    Verify patient demographics and assist with basic administrative intake processes

    Sort, review, and distribute incoming faxes, ensuring timely routing to appropriate staff and proper documentation in patient charts

    Assist with billing operations, including verifying insurance, posting payments, and supporting revenue cycle processes

    Coordinate office communications, including emails, memos, and patient correspondence

    Support providers and clinical staff with administrative needs

    Maintain organized filing systems in compliance with healthcare regulations (HIPAA)

    Assist with office procedures and workflow improvements to enhance patient care

    Qualifications

    High school diploma or GED required; Associate’s degree or medical administrative training preferred

    Previous experience in a medical office or healthcare setting strongly preferred

    Familiarity with electronic medical records (EMR/EHR) systems is a plus

    Basic knowledge of medical billing, insurance verification, and revenue cycle processes preferred

    Knowledge of standard office equipment (phones, printers, fax machines)

    Proficiency in Microsoft Office (Word, Outlook, PowerPoint)

    Excellent organizational, multitasking, and time management skills

    Strong interpersonal skills with a patient-focused and professional demeanor

    Ability to maintain confidentiality and handle sensitive information
