    Administrative Assistant

    Momentum Environmental (Momentum) provides waste management, industrial cleaning, emergency response and remediation services to several private and public sector industries in upstate New York including the manufacturing, engineering, chemical, transportation, retail, and distributed energy sectors.

    The Administrative Assistant reports to the Director of Operations and is responsible for supporting accurate job costing, documentation, and reporting through the Company’s internal systems. This role will work closely with office management and the accounting team to ensure costing controls are followed and the data required for daily accounting processes is complete, accurate, and entered on time.

    Essential Responsibilities

    • Operate internal systems to support job quoting and costing in accounting system.
    • Coordinate with field staff to ensure costs are properly assigned, including equipment, materials, and time in the accounting system.
    • Assist the accounting staff by providing accurate data needed for daily accounting and reporting requirements.
    • Ensure that job details and time are accurate and match records.
    • Support the weekly timesheet process by verifying job and time accuracy.
    • Assist with time sheet input.
    • Maintain strong attention to detail to ensure all entries support internal controls and reporting accuracy.

    • Excellent written and verbal communication skills.
    • Proficient in Microsoft Office Suite (Word, Excell, Outlook, PowerPoint) and general office software.
    • Attention to detail and problem-solving abilities.
